Why You Need a GST Number
GST is a tax on goods and services. If your business reaches a certain sales limit or sells to other states, you must have a GST number. It helps you:
- Follow the law and avoid penalties.
- Input Tax Credit (ITC): Get back the tax you paid on business purchases.
- Build Trust: Show customers and vendors you are a legitimate, registered business.
Common Documents Everyone Needs
No matter what kind of business you have, you will need these three foundational items:
- PAN Card: Your tax ID. It must be in the name of the owner (for individuals) or the business entity.
- Photos: Clear passport-size photos of the owners, partners, or directors.
- Phone & Email: A mobile number and email address linked to Aadhaar for receiving OTPs.
Business Address Proof
The government needs to verify your place of business. You must provide one of the following based on your situation:
- Owned Property: Latest electricity bill, water bill, or property tax receipt.
- Rented/Leased: Valid rent agreement and a "No Objection Certificate" (NOC) from the property owner.
- Shared/Consent Space: A consent letter from the owner allowing you to use the address for business.
Documents Based on Your Business Type
Different legal structures require specific extra paperwork. Find your business type below:
1. Individuals (Sole Proprietors)
- Owner’s PAN and Aadhaar Card.
- Bank account details (a cancelled cheque or the first page of your passbook).
2. Partnership Firms and LLPs
- Partnership Deed: The legal document defining the partnership.
- PAN Card of the Firm: The firm must have its own separate tax ID.
- Aadhaar and Photos: For all active partners.
3. Private Limited Companies
- Certificate of Incorporation: The official registration document of your company.
- PAN Card of the Company.
- Board Resolution: A signed letter on company letterhead stating the company intends to register for GST.
- Director Details: PAN and Aadhaar cards for all directors.
Special Rules for 2026
The government has streamlined the process in 2026 with two major updates:
The Bank Account Update Rule
In 2026, you can apply for GST without an active business bank account. However, once your GST number is generated, you have exactly 30 days to update your bank details on the portal. Failure to do so will result in immediate suspension of your GST number.
Aadhaar Authentication
This is now the "Fast Track" method. By opting for Aadhaar Authentication, you receive a verification link on your Aadhaar-linked mobile.
- Benefit: Completing this can lead to GST approval in as little as 3 working days.
- Alternative: If you skip this, a physical verification of your office by a tax officer may be required, which takes much longer.
Tips for Quick Approval
- Name Matching: Ensure your name is spelled exactly the same on your PAN, Aadhaar, and Bank Account. Even a small typo can cause a rejection.
- High-Quality Scans: Avoid using blurry phone photos. Use a proper scanner to ensure all text on electricity bills and agreements is readable.
- Document Recency: Ensure that any utility bills (Electricity/Water) used as address proof are less than 2 months old.
